Introduction
At Be More Coaching Services, we believe that trust is built through openness, transparency and respect.
This manual explains how to request access to records held by Be More Coaching Services. It should be read together with our Privacy Notice, which explains how we collect, use, store and protect personal information in accordance with POPIA.
Purpose of this Manual
The purpose of this manual is to:
- explain your right to request access to information held by Be More Coaching Services;
- describe the types of records we hold;
- explain how to make an information request;
- outline the circumstances under which access may be granted or refused; and
- demonstrate our commitment to transparency, accountability and responsible information management.
Scope
This manual applies to records held by Be More Coaching Services that are subject to PAIA.
About Be More Coaching Services
Be More Coaching Services provides executive coaching, leadership coaching, team coaching, facilitation and related professional development services.
As part of providing these services, we create and maintain records necessary to deliver our services professionally, comply with legal and regulatory obligations, and fulfil applicable accreditation requirements.

Guide to PAIA
The Information Regulator has published a guide on how to exercise rights under PAIA. The guide is available from the Information Regulator’s website or from its offices.
Records Available Without a Formal Request
The following information is generally available on Be More Coaching Services’ website without the need to submit a PAIA request:

- our Privacy Notice;
- information about our services;
- contact information; and
- other publicly available website content and published articles.
Records Available in Terms of Other Legislation
Be More Coaching Services maintains records in accordance with applicable South African legislation, including POPIA, the Electronic Communications and Transactions Act, and applicable tax legislation.
Categories of Records Held
Examples of records held by Be More Coaching Services include:

How to Request Access to Information
If you wish to request access to information held by Be More Coaching Services, please submit a written request to the Information Officer using the prescribed PAIA request form available on the Information Regulator’s website at: inforegulator.org.za/paia-forms
Your request should include sufficient detail to enable us to:
- identify the record requested;
- verify your identity;
- identify the right you seek to exercise or protect; and
- determine whether access may be granted.
Once your request has been received, we will consider it in accordance with PAIA and notify you of our decision within the timeframes prescribed by the Act.
Fees
PAIA allows private bodies to charge prescribed fees for certain information requests. Fees will be charged in accordance with the fees prescribed under PAIA. Where applicable, we will advise you in writing of:
- any request fee;
- estimated reproduction costs;
- search and preparation costs; and
- delivery costs.
Access to records may be withheld until the prescribed fees have been paid.
Circumstances Where Access May Be Refused
In certain circumstances PAIA requires or permits Be More Coaching Services to refuse access to records. These may include where disclosure would:
- unreasonably disclose another person’s personal information;
- breach confidentiality obligations;
- disclose commercially sensitive information;
- prejudice legal proceedings;
- compromise the safety of individuals;
- otherwise be prohibited by law; or
- otherwise fall within a ground for refusal provided for in PAIA.
Where access is refused, we will provide written reasons in accordance with PAIA.
Processing of Personal Information
Be More Coaching Services processes personal information in accordance with POPIA. Detailed information regarding the categories of personal information processed, purposes of processing, recipients of personal information, and security safeguards is set out in our Privacy Notice, available at: www.coachingu2bmore.co.za
Protection of Personal Information
When considering requests for information, Be More Coaching Services will balance the right of access to information with its obligations under POPIA. We will only disclose personal information where permitted or required by law.
Complaints
We encourage you to contact us first should you have concerns regarding our handling of an information request, so that we can attempt to resolve the matter.
